Event & Company Policies
Why We Have Policies
The Oklahoma Society for Culture Appreciation (OS4CA) exists to bring people together across cultures, communities, and interests through shared celebration of the arts. Every event we produce, from our conventions to our community programs, is built on the trust of the attendees, artists, vendors, guests, partners, and staff who choose to spend their time with us.
Our policies exist to protect that trust. They establish the standards of conduct, safety, and fairness that allow ten people to tens of thousands of people to gather and have a positive, welcoming experience. They are not written to restrict enjoyment. They are written to make sure that enjoyment is possible for everyone, including the volunteers and staff who make our events happen.
As a registered 501(c)(3) nonprofit organization, OS4CA is also accountable to the communities we serve and to the mission that founded us: to promote culture and the arts in Oklahoma, to share Oklahoma's art and culture beyond our state, and to bring divergent cultures together. Our policies reflect that responsibility. They cover matters including, but not limited to, attendee and staff conduct, safety and security procedures, venue and vendor requirements, intellectual property, media capture, refunds and registration, and the standards expected of everyone.
How We Enforce Our Policies
OS4CA takes the enforcement of its policies seriously and does so consistently, fairly, and with the safety of all participants as the highest priority.
Enforcement is carried out by OS4CA staff and volunteers on-site and year-round, under the oversight of the appropriate Cabinet Director and, where applicable, the Board's Committee for Policy & Administration. Depending on the nature of a policy violation, enforcement action may include a warning, removal from a venue or event without refund, suspension or revocation of vendor, artist, or exhibitor privileges, restriction of interation with contests, removal of partnership or contractor eligibility, denial of future registration or credentials, or referral to venue security or law enforcement where warranted.
We reserve the right to interpret and enforce our policies as necessary to protect the safety and experience of our attendees, staff, and partners, and to update our policies as circumstances require. Where a specific event has additional rules, such as those set by a venue, a guest, or a program partner, those rules apply in addition to, not in place of, OS4CA's general policies.
If you have questions about a specific policy, need to report a concern, or believe a policy was applied unfairly, we encourage you to reach out to us directly so we can address it appropriately.

Agreement to Our Policies
By registering for, purchasing a ticket to, exhibiting at, volunteering with, or otherwise attending or participating in any OS4CA event or program, you agree to abide by all applicable OS4CA policies, as well as any additional rules established for that specific event or venue.
This agreement applies whether or not you have read these pages in full, and it applies equally to attendees, vendors, artists, exhibitors, guests, sponsors, partners, and staff. Continued participation in an OS4CA event after being notified of a policy or a violation constitutes ongoing agreement to comply with it. OS4CA reserves the right to deny entry, remove any individual, or revoke credentials at any time for failure to comply with our policies, without refund.
We ask everyone who joins us, whether for a single afternoon or as part of our year-round programs, to read and understand these policies before attending so that our events remain safe, welcoming, and enjoyable for the entire community.
