The Oklahoma Society for Culture Appreciation (OS4CA) is an organization dedicated to promoting education and community through entertainment. We do this by producing events, programs, and initiatives that celebrate arts, culture, fandom, and shared experiences across Oklahoma.

Our work is powered by people. Individuals who want to contribute their time, skills, and passion toward building welcoming, well-run, and impactful experiences. Whether you are supporting a single event or helping sustain the organization year-round, staffing with OS4CA is about service, collaboration, and stewardship of the communities we serve.

Working with OS4ca

Staffing with OS4CA means being part of a mission-driven organization that values professionalism, inclusivity, and thoughtful operations. We operate as a distributed organization year-round, with on-site activation during events and programs. Many roles are remote or hybrid in nature, while others are hands-on during event or program execution.

 

Opportunities with OS4CA may include:

 

  • Supporting arts, culture, and educational programming

  • Building practical experience in nonprofit and event operations

OS4CA offers multiple ways to be involved, each with different expectations, responsibilities, and time commitments. Understanding these distinctions is important when deciding how you would like to participate.

Ways to Get Involved
Event Staff (Event-Specific Volunteering)

Event Staff are volunteers who support a specific OS4CA event during its on-site execution. These roles are focused on making each event safe, organized, and welcoming for attendees, guests, vendors, and partners.

Event Staff roles may include support in areas such as:
   •    Operations and logistics
   •    Guest and attendee services
   •    Programming and activities
   •    Access control and safety support

Event Staff commitments are short-term and event-specific. Training, scheduling, and responsibilities are tied directly to the individual event.

Important Note:
Volunteering as Event Staff is separate from year-round organizational staffing. Signing up for an event does place you as an active volunteer on our register, but does not place you into OS4CA’s ongoing Support Staff structure.

 

Events Currently Recruiting:

Organizational Staff (Year-Round Involvement)

Organizational Staff support OS4CA as an organization, not just a single event. These roles help maintain continuity, quality, compliance, and growth across all programs and initiatives.

These roles are comprised of

  • Entry-Level Department Support Staff,

  • Department Specalists,

    • including unique roles within our Community Engagement Department.

  • and Department Heads

 

Organizational Staff roles typically involve:

  • Ongoing or long-term commitment

  • Work that occurs between event cycles, not just during events

  • Supporting departments, systems, planning, and community initiatives

  • Greater responsibility and accountability within OS4CA’s structure

 

Some individuals begin their involvement with OS4CA as Event Staff and later apply for Organizational Staff roles. Movement between these is intentional and based on organizational needs, role availability, and mutual fit.

Support Staff

Support Staff assist OS4CA departments and programs on an ongoing basis. These roles are essential to keeping the organization functioning smoothly throughout the year.

Support Staff roles typically:

  • Are task-focused and operational

  • Support a specific department or function

  • May be remote, hybrid, or event-activated as needed

  • Require reliability, communication, and adherence to organizational policies

These roles are ideal for individuals looking to contribute consistently without taking on formal leadership responsibilities.

Social Media Content Creator

Social Media · Communications & Technology (ACT)

Social Media Content Creators support OS4CA’s primary social platforms by developing and publishing engaging content that reflects the organization’s voice, values, and programming.

Primary Responsibilities:

  • Create original social media content (graphics, short videos, captions, reels, etc.)

  • Assist with content scheduling and platform-specific formatting

  • Support event promotion, announcements, and community highlights

  • Coordinate with Creative Arts and Communications leadership as needed

 

Ideal For:
Individuals with experience in social platforms, content creation tools, and brand-aware messaging who want to support a nonprofit organization’s public presence.

Cinematographer

Creative Arts · Communications & Technology (ACT)

Cinematographers support OS4CA by capturing video footage at events, community activations, and special projects.​

Primary Responsibilities:  

  • Capture high-quality video footage on-site

  • Follow shot lists and creative direction when provided

  • Coordinate with Video Editors for post-production needs

  • Maintain awareness of safety, access, and consent requirements

Ideal For:

Individuals comfortable working on-site with cameras and audio equipment in live environments.

Street Team Member

Community Engagement · Communications & Technology (ACT)

Street Team Members represent OS4CA in the community by assisting with outreach, tabling, flyering, and partner-facing initiatives.

Primary Responsibilities: 

  • Support community outreach at local events, festivals, and pop-ups

  • Assist with tabling, informational materials, and public engagement

  • Represent OS4CA professionally in public-facing environments

  • Provide feedback and insights from community interactions

 

Ideal For:

Outgoing individuals who enjoy in-person engagement and community representation.

Content Creator: Community Programs

Social Media · Communications & Technology (ACT)

This role focuses specifically on creating content that highlights OS4CA’s community programs, partnerships, and outreach efforts.

Primary Responsibilities:

  • Produce content showcasing initiatives, partners, & local impact   

  • Support storytelling around community engagement and education​

  • Adapt content for multiple platforms and audiences

  • Collaborate with Community Engagement and Social Media leadership

Ideal For:
Content creators who are community-minded and interested in telling stories beyond event promotion.

Graphic Designer

Creative Arts · Communications & Technology (ACT)

Graphic Designers support OS4CA’s visual identity by creating graphics used across digital, print, and event materials.

Primary Responsibilities: 

  • Design graphics for social media, promotions, signage, and programs

  • Follow established brand guidelines and templates

  • Collaborate with Content Creators and Communications leadership

  • Prepare assets for both digital and print use

 

Ideal For:

Designers with experience in Adobe Creative Suite, Canva, or similar tools who enjoy nonprofit and event-focused design work.

Asset Transport

Site Support · Logistics (ALOG)

Asset Transport Team Members assist with the movement of organizational assets between storage, venues, and deployment sites.

Primary Responsibilities:  

  • Transport approved assets safely and securely

  • Assist with loading, unloading, and basic inventory checks

  • Coordinate with Logistics leadership on schedules and routing

  • Follow chain-of-custody and asset handling procedures

Reliable individuals comfortable with physical tasks and logistical coordination.

Content Coordinator: Community Programs

Social Media · Communications & Technology (ACT)

The Content Coordinator for Community Programs focuses on organizing, planning, and aligning social media content related to OS4CA’s community initiatives and year-round programs.

Primary Responsibilities:

  • Coordinate content needs for community programs and initiatives

  • Maintain content calendars specific to community engagement efforts

  • Liaise between Community Engagement and Social Media teams

  • Ensure messaging consistency across platforms

Ideal For:
Individuals with strong organizational skills who enjoy coordinating across teams and managing content workflows.

Video Editor

Creative Arts · Communications & Technology (ACT)

Video Editors assist with post-production for promotional, recap, and informational video content.

Primary Responsibilities:  

  • Edit short-form and long-form video content

  • Assemble footage from events, interviews, and community programs

  • Optimize videos for various platforms and formats

  • Coordinate with Cinematographers and Content Creators

Event Asset Deployment

Site Support · Logistics (ALOG)

Event Asset Deployment Team Members focus on setting up, staging, and breaking down assets for OS4CA events.

Primary Responsibilities:  

  • Deploy signage, barriers, equipment, and support assets on-site

  • Assist with layout execution and site preparation

  • Support teardown and post-event asset recovery

  • Work closely with Site Support and Safety teams

Individuals who enjoy hands-on event operations and on-site teamwork.

Special Projects Asset Deployment

This role supports micro-events, pop-ups, partner activations, and special displays, rather than large-scale events.

Primary Responsibilities:  

  • Deploy assets for small-scale or off-site activations

  • Support displays at partner locations or community events

  • Adapt deployment plans to non-traditional environments

  • Coordinate closely with Logistics and Community Engagement teams

The Community Development Platform Manager oversees the operational and content health of LINC UP, OS4CA’s year-round community engagement framework.

Primary Responsibilities: 

  • Manage and maintain LINC UP’s digital platform(s) and tools

  • Coordinate updates, features, and content needs in alignment with community goals

  • Serve as a liaison between Community Engagement, Technology, and Communications

  • Monitor platform usage, engagement trends, and improvement opportunities

  • Ensure platform operations align with OS4CA policies and standards

Event Calendar & Forum Program Manager

Community Development Program Managers

  • Coordinate with other Program Managers and Community Engagement leadership

Partner Manager

The Partner Managers support OS4CA’s relationships with partner organizations, businesses, and institutions that collaborate on events, programs, or initiatives.

Primary Responsibilities: 

  • Serve as a point of contact for partner communications and coordination

  • Support onboarding and relationship maintenance for assigned partners

  • Track partner involvement across programs and events

  • Coordinate internally to ensure partner needs and commitments are met

  • Assist with documentation and reporting related to partnerships

Community Ambassador & Street Team Program Manager

This role oversees OS4CA’s Community Ambassador and Street Team efforts, ensuring consistent representation and effective outreach.

Primary Responsibilities: 

  • Coordinate recruitment, onboarding, and scheduling for ambassadors and street team members

  • Develop guidelines, materials, and expectations for public-facing engagement

  • Serve as a primary point of contact for outreach activations and tabling

  • Coordinate with Communications and Logistics for materials and deployment

  • Gather feedback from ambassadors and interactions

Charity Program Manager

Charity · Communications & Technology (ACT)

The Charity Program Manager supports OS4CA’s charitable programming during events coordinating auctions, donations, and fundraising activities on-site ensuring charitable initiatives are organized, and well-managed throughout events.

Primary Responsibilities: 

  • Coordinate on-site charity activities during events

  • Serve as the primary point of contact for Charity during events

  • Support collection, tracking, and secure handling of donated items and funds in coordination with Finance

  • Assist with scheduling, staffing, and operational flow for charity spaces

  • Assist with post-event reconciliation, documentation, and reporting

Ideal For:

Individuals with strong organizational and communication skills comfortable working in event environments. 

Department Heads:

Department Heads provide strategic and operational leadership for an organizational function or department.

  • Coordinate with external legal counsel when needed

The Head of Exhibitors – External oversees external exhibitor operations, including outdoor exhibitors, large-scale displays, and non-interior vendor placements.

Primary Responsibilities: 

  • Manage policies, procedures, and oversight for external exhibitors

  • Coordinate exhibitor logistics with Finance, Logistics, and Safety teams

  • Ensure compliance with contracts, site rules, and financial requirements

  • Support exhibitor experience from application through load-out

  • Contribute to planning for scalable exhibitor operations

Head of Gaming - Digital

Programming · APG

The Head of Gaming – Digital oversees the planning, coordination, and operation of electronic local and online gaming programming across OS4CA events and activations.

Primary Responsibilities: 

  •  Plan and manage digital gaming programming, including tournaments, free-play areas, and special digital gaming events

  • Oversee scheduling, registration workflows, and participant flow for digital gaming activities

  • Coordinate with digital gaming vendors, sponsors, and exhibitors for demos, promotions, and prizes

  • Manage setup, operation, and teardown of digital gaming spaces, including equipment oversight

  • Supervise on-site digital gaming staff and volunteers to ensure smooth event execution

Ideal For:

Individuals with experience in digital gaming operations, tournament organization, or esports-adjacent event management who are comfortable balancing technical logistics, participant experience, and cross-department coordination across both large conventions and smaller activations.

Head of Site Support

Logistics Operations · ALOG

The Head of Site Support oversees the transport, staging, and logistical handling of organizational assets across OS4CA events and activations.

Primary Responsibilities: 

  • Manage transport of assets between storage, venues, and activation sites

  • Oversee on-site staging, load-in, and load-out operations

  • Maintain asset tracking, chain-of-custody, and condition reporting

  • Coordinate closely with Site Management at large events, where Site Management determines placement and performs final setup

  • Assume full transport and setup responsibility for micro events, pop-ups, and activations

  • Develop and maintain SOPs for scalable asset deployment​

Individuals with experience in event logistics or operations managing assets across both large-scale events and small activations.

Head of Gaming - Tabletop & Specialty

Programming · APG

The Head of Gaming – Tabletop & Specialty oversees the planning, coordination, and operation of tabletop and specialty gaming programming across OS4CA events and activations.

Primary Responsibilities: 

  • Plan and manage tabletop and specialty gaming programming, including board games, TCGs, RPGs, miniatures, and specialty formats

  • Oversee scheduling, sign-ups, and session flow for tournaments, campaigns, and free-play areas

  • Coordinate with tabletop and specialty gaming vendors, sponsors, and exhibitors for demos and promotional activities

  • Ensure appropriate  supplies are staged, maintained, and replenished

  • Supervise on-site tabletop gaming staff, hosts, and volunteers to maintain consistent operations

Ideal For:

Individuals with experience in tabletop gaming communities, organized play, or specialty gaming events who are adept at managing schedules, space, and participant engagement across both large conventions and smaller pop-up or community-focused activations.

Head of Quality Assurance

Strategic Planning · ASC

The Head of Quality Assurance ensures OS4CA maintains high standards across operations, staffing, programs, and events.

Primary Responsibilities: 

  • Develop and oversee quality standards and review processes

  • Conduct evaluations of programs, departments, and events

  • Identify gaps, risks, and opportunities for improvement

  • Support post-event reviews and organizational assessments

  • Assist Various Departments in Quality and proofreading reviews

  • Coordinate with Directors and Department Heads on corrective actions

Individuals with experience in quality management, process improvement, or organizational assessment.
