Communications

The Communications Area of the Oklahoma Society for Culture Appreciation (OS4CA) is responsible for the organization’s public-facing communications infrastructure. This includes the development, coordination, and delivery of information to external audiences, media, institutions, and event attendees, as well as communications support provided through OS4CA-operated programs.

Communications oversees how OS4CA and its initiatives are represented publicly, how information is accessed and understood by attendees, and how messaging is coordinated across events, platforms, and partner-facing touchpoints. The area operates through defined departments and programs to ensure clarity, consistency, accessibility, and accountability in all public communications.

Attendee Services
Attendee Services manages attendee-facing communication, information access, and support across OS4CA events. This function exists to ensure that attendees can understand event offerings, navigate venues, and receive assistance before and during events.
Attendee Services includes Information Services, which provides schedules, programming guidance, wayfinding assistance, and answers to general attendee questions; Accessibility Services, which coordinates communication and accommodations for attendees with access needs; and VIP Services, which supports guests and individuals with special access or credentials.
In addition to direct event support, Attendee Services contributes to attendee-focused assistance delivered through LINC UP programs. This includes sharing best practices, guidance, and informational resources with qualifying organizations and initiatives seeking to improve attendee communication, accessibility planning, or on-site information services within community-aligned events.

Public Relations Operations
Public Relations Operations encompasses the full scope of OS4CA’s public-facing communications and serves as the central authority for communications strategy, coordination, and execution. All outward-facing messaging, creative production, media coordination, promotional activity, and brand representation are managed through this operation.
PR Operations oversees multiple functional areas, including Creative Arts, Media Relations, Merchandise Creation & Procurement, Promotions, and Social Media, which operate in coordination rather than isolation. Creative Arts develops graphics, photography, and videography used across digital, print, promotional, and event environments. Media Relations manages press and influencer relationships, including credentialing and coverage coordination. Merchandise Creation & Procurement handles merchandise concepting, design, fabrication coordination, quality assurance, and procurement. Promotions organizes marketing strategies and campaign execution, while Social Media manages OS4CA’s official presence across platforms as part of the broader communications ecosystem.
In addition to supporting OS4CA programs and events, PR Operations provides communications-related assistance to external organizations and initiatives through LINC UP programs. This includes support with public-facing messaging, promotional coordination, and communications strategy for qualifying organizations aligned with shared community goals.

This function includes Internal Technology Administration, which manages organizational systems, hardware, software, and technical access used by staff and volunteers. It also includes Audio / Visual Operations, which supports sound, video, and presentation systems used for panels, performances, screenings, and other programmed content, as well as Online Services, which manages OS4CA’s websites, forms, submission systems, and digital tools accessed by attendees, partners, and participants.
Through LINC UP programs, IET also provides technical and platform-related assistance to qualifying external organizations and initiatives, where appropriate. This may include support related to digital presence, online tools, presentation technology, or event-related technical coordination delivered within shared community or programmatic contexts.
